Landlord Software Prices in the UK (2026): The Full Comparison Table

Software used to be optional for small landlords. With Making Tax Digital now requiring digital records and quarterly updates for landlords above the income thresholds, it’s becoming a standard running cost. The question is how much you need to pay.

This page lists the published prices of the most widely used UK landlord and accounting tools, checked on each vendor’s own pricing page in September 2026, and works out what they’d cost for portfolios of different sizes. We don’t take commission from any of them.

Important: software prices change often, introductory discounts come and go, and some prices exclude VAT. Treat these as a starting point and confirm on the vendor’s site before you buy.

Both QuickBooks and Xero were offering 90% off for the first six months for new UK customers when we checked. Xero describes all of its plans as “MTD for Income Tax ready”. QuickBooks prices are from Startups.co.uk (March 2026), as QuickBooks’ own page loads prices dynamically.

What it costs for your portfolio size

Using the published prices above (monthly, before VAT and before any introductory discount):

In annual terms, that’s roughly £0–£240 a year for 1–3 properties and £216–£420 a year for 8 properties, depending on the product. The figures are simple calculations from each vendor’s published tiers; your actual price may differ with discounts, VAT or annual billing.

The real cost of a “free” plan

A free plan with a per-submission fee isn’t always free. Under MTD you send four quarterly updates plus a tax return each year. At £5 per submission, that could be around £20–£25 a year — still cheap, but worth knowing when comparing with a paid plan that includes submissions.

What pushes the price up

  • Number of properties or units. Most landlord tools price by lease, tenancy or unit, with a charge for each one above the plan limit.
  • Users. Adding a partner, bookkeeper or manager can force you onto a higher plan.
  • Bank feeds and automation. Free tiers usually mean manual entry; automatic bank feeds sit on paid plans.
  • Tier jumps. Moving from 8 to 9 properties, or 10 to 11, can change your plan entirely.
  • VAT. Many prices exclude VAT; if you’re not VAT-registered, you pay the extra 20%.
  • Introductory discounts ending. A £1.80 or £1 first month becomes the full list price later.

Is it worth paying for software?

For landlords brought into MTD, some digital tool is required. The question is whether to pay more than the minimum. Paying tends to make sense when:

  • you have more than three properties and spend real time matching rent payments;
  • you’re regularly chasing certificate renewals — a missed EICR can mean a penalty of up to £40,000;
  • you’d otherwise pay an accountant to tidy up your records every quarter.

Software subscriptions used for your letting business are generally an allowable expense against rental income, which reduces the real cost.

Annual cost including VAT

If you aren’t VAT-registered, you pay the VAT on top of any price listed “+ VAT”. Here’s what that means over a full year for some common choices (list prices, no introductory discount):

For Landlord Studio, the monthly Pro price and the discounted annual price shown on its pricing page both work out at £144 before VAT when we checked — confirm the current offer before you buy. Latch and Xero didn’t state on their pricing pages whether VAT is included, so check at checkout.

Introductory discounts: what they’re really worth

Xero and QuickBooks were both offering 90% off for six months when we checked. On QuickBooks Simple Start (£16 a month + VAT), that’s a saving of about £86 in year one before VAT (6 × £14.40). Useful — but it’s the year-two price that matters for a tool you’ll use for years, so compare products on their full price.

Price vs time saved

A useful way to judge value: if automatic bank feeds and rent matching save you even two hours a quarter compared with spreadsheets, that’s eight hours a year. Set that against the difference between a free plan and a paid plan — often £150–£250 a year — and decide what your time is worth. If you pay an accountant by the hour to tidy your records, better records can also reduce their bill.
